Veeam in a Brownfield: The Inherited Environment Triage Playbook
1. The Scenario
You have inherited a Veeam environment from someone who left. Maybe it was an MSP that got fired. Maybe the backup admin quit. Maybe you are the MSP who just won a new customer and the handoff documentation is a single page of IP addresses. The VBR console opens. There are jobs. Some are green. Some are red. Some have not run in weeks. You do not know the encryption password. You do not know if the configuration database has ever been backed up. You do not know which VMs are actually protected.
This is a brownfield triage. The goal is not to redesign the environment. The goal is to get to a known-good state without breaking existing backup chains. That means understanding what you have before you change anything.
2. Day One: Establish Access and Take Stock
- 1Get console access. Connect to VBR via the console or the web UI (port 443 on v13 VSA). If you do not have the VBR administrator credentials, you need local administrator access to the VBR server itself. On Windows, a local admin can open the console. On the Linux VSA, the veeamadmin account is the management user.
- 2Document the VBR version. Open the console. Check Help > About. Note the exact build number. This tells you the version, the update level, and whether the environment is current or years behind. Write it down.
- 3Screenshot everything. Before you touch a single setting, screenshot the job list, the repository list, the managed servers list, the proxy list, and any SOBR configurations. If you change something and break a chain, these screenshots are your recovery reference.
- 4Do not delete anything on day one. Do not delete failed jobs. Do not delete orphaned backups. Do not remove managed servers. Do not re-point repositories. Until you understand the full state of the environment, any deletion risks losing backup chains that may be the only copy of recoverable data.
3. The Configuration Database Backup
The VBR configuration database stores every job definition, session history, credential reference, encryption password reference, RBAC assignment, and managed server registration. If the database is lost, you lose all of that. You can rescan repositories to rediscover backup files, but you lose job configurations, schedules, session history, and credential mappings.
Check whether the previous admin set up a configuration backup. In the VBR console, go to the main menu and look for Configuration Backup. If it is configured, verify the target path and confirm that recent backups exist in that location. If it is not configured, configure it immediately. This is your first action after gaining access.
If the output shows no configuration backup job or a LastResult of Failed, the configuration database has not been backed up. Set it up now. Point it to a location that is not on the VBR server itself.
Critical
If the configuration database is on the local VBR server disk (the default for the embedded PostgreSQL in v13) and the server disk fails, you lose the database and all job configurations. The configuration backup is your only safety net. If it does not exist when you arrive, it is the first thing you create.
4. License and Version Audit
Check the license. In the console, go to the main menu and select License. Note the license type (VUL, socket, rental, Community Edition), the number of licensed workloads or sockets, the expiration date, and the edition (Standard, Advanced, Premium/Enterprise Plus).
Common findings in brownfield environments: the license is about to expire and nobody renewed it. The license is a trial that was never converted to a paid license. The license belongs to the previous MSP and will be revoked when they realize the customer left. The license is socket-based but the environment has migrated to a hypervisor that requires VUL (like AHV or Proxmox).
If the license expires, VBR stops running jobs after a grace period. It does not delete backup data, but new backups stop. Restores from existing backup files continue to work. If you discover an expired or nearly expired license, contact Veeam or your reseller immediately.
Check the VBR version against the current release. If the environment is running v11 or v12, plan an upgrade path. v13 is a significant release with PostgreSQL support, the Linux VSA, enhanced RBAC, and the REST API. If the environment is running v9.5 or v10, it is critically outdated and missing years of security patches. Upgrade becomes a priority, but plan it carefully because major version upgrades can require configuration database migrations.
5. Job Health Assessment
Open the Home view in the VBR console and look at every backup job. Categorize each job into one of four states.

6. Protection Gap Analysis
The job list tells you what is being backed up. The protection gap analysis tells you what is not. Run the unprotected VM detection script from the forensics article in this series, or use the Veeam ONE "Protected VMs" and "Orphaned VMs" reports if Veeam ONE is deployed.
In brownfield environments, protection gaps are almost guaranteed. VMs were added to the environment after the backup jobs were last updated. VMs were migrated between clusters or hosts and fell out of job scope. Entire applications were deployed without anyone telling the backup team. New datastores were created and VMs placed on them without updating backup job inclusion rules.
For each unprotected VM, determine whether it needs backup coverage. Not every VM needs to be backed up (ephemeral test VMs, for example), but every production VM should be in a backup job. Document each gap and the decision made about it.
7. Repository and Storage Audit
List every repository in the VBR console. For each repository, check capacity utilization, path, type (Windows, Linux, SOBR, object storage), and whether any health warnings are present.
Key findings to look for: repositories above 80% utilization (performance degradation risk), repositories on the VBR server's system drive (single point of failure), repositories on network paths that are no longer accessible (stale UNC paths from a decommissioned NAS), and SOBR extents in maintenance mode that were never brought back online.
Orphaned Backup Files
Orphaned backup files are .vbk, .vib, or .vrb files on a repository that are not associated with any current backup chain in the VBR database. They consume storage but serve no purpose. In brownfield environments, orphaned files can account for hundreds of gigabytes or even terabytes of wasted space. VBR shows these under the "Disk (Orphaned)" node in Backups view (v11+).
Do not delete orphaned files immediately. They may be the only remaining restore point for a decommissioned VM. Check what the orphaned backup contains (right-click, Properties) before deciding whether to delete it. If you are unsure, leave it until you have completed the full triage.
8. Credential and Access Inventory
VBR stores credentials for every managed server, hypervisor, cloud provider, and service account. If the previous admin used personal credentials that were tied to their AD account, those credentials may already be expired or disabled.
For each credential, verify that the account still exists, is not locked, and has the required permissions. If credentials are using the previous admin's personal domain account, create a new dedicated service account with the appropriate permissions and update the credentials in VBR. Do not delete the old credential entry until the new one is tested and all jobs using it have been updated.
Check the VBR service account itself. VBR services run under either the LocalSystem account or a named service account. If the service account is a domain account that belonged to the previous admin, it may be disabled or deleted when AD cleanup happens. Change the service account to a dedicated backup service account before the old one gets removed.
9. The Encryption Password Problem
If the previous admin enabled backup encryption and the encryption password is unknown, you have a serious problem. Encrypted backups cannot be restored without the correct password. VBR stores a reference to the password but does not display it. If the password was not documented anywhere, and the person who set it is gone, those encrypted backups may be unrecoverable.
Do Not Panic Yet
Check whether any of the following sources have the password: the previous admin's password manager or documentation, the MSP's documentation repository, a sealed envelope in a physical safe (some organizations store encryption passwords offline), the VBR configuration backup (if you can restore a config backup to a test instance, the encryption passwords travel with the configuration). If none of these sources have it, the encrypted backup data is effectively lost.
Once you recover or establish the encryption password, use the REST API verification endpoint (/api/v1/encryptionPasswords/{id}/verify) to confirm every stored password is valid. Then document the password in a secure location that survives staff turnover. A password manager shared with the team lead and a sealed physical copy in a fireproof safe are the standard approaches.
If backup encryption was not enabled and the environment handles regulated data (HIPAA, PCI, SOC 2), enabling encryption on all jobs is a triage finding that goes on the remediation list.
10. Triage Priority Order
When you walk into a brownfield Veeam environment, work through these items in order. Each step depends on the one before it.
- 1Configuration backup. If it does not exist, create it. If it exists, verify it works. This is your undo button for everything that follows.
- 2License validity. Confirm the license is active and will not expire in the near term. If it is about to expire or belongs to the previous MSP, escalate immediately.
- 3Fix failing jobs. Any job in a Failed state means VMs are not protected. Address the root cause for each failure. Credential expired? Update it. Repository full? Free space or add capacity. Proxy unavailable? Re-register or deploy a new one.
- 4Close protection gaps. Add unprotected production VMs to backup jobs. Decide on disabled jobs: re-enable them or confirm the workloads are decommissioned.
- 5Resolve the encryption password. If encryption is enabled, verify you have the password. If encryption is not enabled and should be, add it to the remediation plan.
- 6Update credentials. Replace any personal or expired credentials with dedicated service accounts. Update the VBR service account if needed.
- 7Repository health. Address any repository above 80% utilization. Clean up orphaned backups after confirming they are not needed. Verify all repository paths are accessible.
- 8Plan the upgrade. If the VBR version is outdated, plan the upgrade to v13. Do this after the environment is stable, not before. Upgrading a broken environment makes it harder to triage.
- 9Deploy monitoring. If Veeam ONE is not deployed, deploy it. If it is deployed, verify alarms are configured and notifications are going to a mailbox that someone actually reads.
- 10Document everything. Write the runbook that the previous admin never wrote. Job list with scope and schedule. Repository list with capacity. Credential inventory. Encryption password location. Monitoring configuration. Network diagram showing VBR, proxies, repositories, and managed servers. This document is how you prevent the next brownfield scenario.

- Work the triage in order: config backup, license, failing jobs, protection gaps, encryption, credentials, repositories, version upgrade, monitoring, documentation.
